HVAC Maintenance Specialist

Objective:
The HVAC Technician will oversee the technical teams responsible for Planned Preventative Maintenance (PPM) and Reactive maintenance services. This role necessitates effective management of technicians and client relationships, ensuring the establishment and maintenance of strong working partnerships.
The HVAC Technician must guarantee that services are executed in accordance with legislative and regulatory standards while adhering to service level agreements. Additionally, the role involves conducting compliance audits promptly, implementing corrective measures as necessary, and fostering the development of all direct reports through training and support.
Primary Responsibilities:
- Foster and promote a cohesive team culture across the region, aligned with City and client values.
- Encourage a culture of safety, ensuring thorough reporting and investigation of potential hazards, incidents, and accidents.
- Represent the organization professionally, cultivating strong relationships with both internal and external colleagues.
- Ensure comprehensive coverage across all sites for both reactive and planned maintenance on a 24/7 basis.
- Provide technical guidance and mentorship to supervisors.
- Address underperformance against KPIs with actionable improvement plans.
- Ensure availability of all necessary tools and equipment for maintenance tasks.
- Assist the Divisional Manager with technical, personnel, and facilities management processes.
- Act as a substitute for the Divisional Manager during absences, holidays, and meetings as needed.
- Complete necessary reports and compliance documentation, resolving issues as they arise.
- Audit facilities management documentation and ensure action plans are established for any compliance issues.
- Respond promptly to Helpdesk inquiries, ensuring effective resolution in line with service level agreements, escalating issues as necessary.
- Participate in site project meetings during trials, renewals, or remodels, providing adequate support on specialized issues.
- Conduct regular meetings with your line manager and direct reports to ensure effective communication of all organizational updates and operational methods.
- Maintain regular communication with clients regarding all facilities management activities within agreed KPIs.
- Adhere to all organizational policies and procedures, participating in the recruitment and selection process for supervisor and technician roles within your area.
- Comply with all health and safety regulations and company processes, staying informed of any legislative changes affecting your role or team.
- Fulfill any reasonable management requests.
- Utilize Computer-Aided Facilities Management (CAFM) and other systems as directed.
- Ensure all jobs are logged and marked as complete only when finished using the CAFM system.
- Review Management Information (MI) for your area to ensure the achievement of key customer KPIs.
The HVAC Technician is responsible for managing all expenditures and ensuring effective cost control within approved budgets by site and across their designated area. They must ensure that all financial approvals align with the agreed levels of spending authority.
Additionally, the HVAC Technician is tasked with identifying and pursuing business development opportunities within the budget to fund additional services for clients, while supporting the development of capital plans and projects in collaboration with the client and designated manager.
People Management:
- The HVAC Technician is responsible for the direct management of the technical team, including but not limited to:
- Recruitment and onboarding of team members.
- Training and development, including performance appraisals in accordance with company processes.
- Reviewing legal training requirements to ensure compliance across the organization.
- Ensuring all direct reports are validated and fulfilling their roles effectively.
- Maintaining up-to-date and compliant training for supervisors and technicians.
- Managing team conduct and capability, applying disciplinary procedures as necessary in accordance with company policy.
- Managing team absences fairly and consistently, ensuring return-to-work interviews are conducted after each absence.
- Minimum education of GCSE/Standard Grade level.
- Recognized technical background with experience in hard facilities management.
- Preferred qualifications include NVQ Level 3/City and Guilds 236 Part 1 & 2 or equivalent in electrical installation/maintenance, with HVAC refrigeration and plumbing qualifications also considered.
- Membership in CIBSE, BIFM, or equivalent is advantageous.
- Working knowledge of service and repair requirements for a variety of electrical and mechanical equipment.
- Essential understanding of maintenance services within the facilities management industry, with desirable experience in a multi-client contracted environment, including PPM and compliance.
- Proven experience in effectively leading and managing a team.
- Desirable experience in developing client relationships at a stakeholder level.
- Strong computer literacy, with experience in extracting, collating, and presenting performance data, along with familiarity using a CAFM system.
- Excellent written and verbal communication skills.
- Strong planning, organizing, prioritization, and project management skills.
- Results-oriented, taking accountability for personal and team performance.
- Effective problem-solving and decision-making abilities.
- Highly adaptable and self-motivated.
- Experience in managing financial budgets.
