Role Overview: Facilities Operations Supervisor

The Facilities Operations Supervisor is accountable for overseeing all facets of operational contract execution, including providing support to the onsite team in daily operations and the integrated management of both hard and soft services. This role encompasses financial oversight and the delivery of customer service at the site. The supervisor will report to the Account Director and assist with direct reporting management, performance evaluations, personal development, and providing support during absences to ensure consistent service delivery. They will also serve as the primary escalation point for client concerns at the office.
Leading, mentoring, and supporting the onsite team while aligning with the client’s workplace strategy is essential for fulfilling our commitments to all stakeholders. Key Responsibilities

The Facilities Operations Supervisor is directly responsible for the following:

  • Demonstrating strong leadership, providing direction, and mentoring the JLL team to enhance engagement, customer service excellence, and client-focused delivery across all service lines.
  • Maintaining operational awareness and understanding of JLL's service delivery and client requirements.
  • Supporting the comprehensive delivery of Integrated Facilities Management (IFM) operations concerning contract execution, health and safety, engineering services, compliance with regulations, contractor management, sustainability initiatives, and driving innovation.
  • Ensuring high levels of satisfaction among client users through prompt responses and customer service-oriented delivery.
  • Assisting the onsite team with Building Management Systems, Planned Preventative Maintenance (PPM) schedules, and quality compliance, supported by the JLL Account Leadership Team.
  • Acting as the primary contact for all facilities, project, fit-out, and crisis management activities, aiding Facility Coordinators in delivering timely solutions and identifying potential obstacles.
  • Serving as the main point of contact for local Facility Coordinators and the client regarding service requests, ensuring all requests are addressed within established timeframes and service level agreements.
  • Developing a thorough understanding of the relationship with landlords, managing agents, and local vendors to facilitate seamless service delivery.
  • Ensuring adherence to standards for daily and periodic cleaning, PPM execution, event management, and shipping processes.
  • Communicating openly and transparently, tailoring messages to suit specific audiences and their needs.

  • Proven experience in supporting and leading site-based teams across various service lines.
  • Ability to work independently while driving positive outcomes.
  • Outgoing and enthusiastic, capable of engaging with all stakeholders.
  • Demonstrated success in contract and team management.
  • Strong capability to build and maintain effective vendor relationships.
  • Experience in financial management, including identifying cost-saving opportunities.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is essential.
  • Excellent written and verbal communication skills, including presentation and negotiation abilities.
  • Ability to manage multiple projects and prioritize effectively.
  • Technical background in engineering, preferably in building services and maintenance.
  • Capacity to network at all organizational levels.
  • Flexibility and adaptability to changing business needs are essential for this role.
  • Initiative, confidence, and professionalism in all interactions.

Experience Requirements

  • A degree or equivalent experience in property management, facilities, operations, or engineering.
  • A minimum of five years in a related role within a customer-facing environment.
  • Experience in a creative or social media environment is advantageous.
  • Must demonstrate flexibility regarding the types of work performed and availability as urgent needs arise.
