About the Role

We are seeking a highly organized and detail-oriented Operations Administrator to join our team at Great Bear. As an Operations Administrator, you will play a critical role in supporting the day-to-day site operations, ensuring the smooth running of our logistics and warehouse activities.

Key Responsibilities
  • Health and Safety Management
    • Monitor and report on health and safety incidents, ensuring comprehensive documentation and follow-up actions.
    • Collate and issue monthly site health and safety check information, tracking and monitoring actions.
  • Site Operations Support
    • Take accurate notes and issue minutes for monthly health and safety meetings, following up on actions.
    • Book contractors for remedial works, communicating with site teams accordingly.
    • Issue permits to work as required.
    • Manage the site's contractor service and inspection diary.
    • Request quotes for site repairs.
    • Schedule BRC internal audits, communicating with site teams.
    • Track progress of work requisitions (internal planned works).
    • Manage site post and packages.
    • Coordinate meeting rooms and catering requirements.
    • Procure site supplies in a cost-effective manner.
    • Manage site lockers and coffee fob allocation.
    • Arrange hotels and transport for site teams.
    • Support with banking and other duties as required.
  • Administrative Support
    • Provide administrative support to the management team, ensuring smooth day-to-day operations.
    • Develop and maintain accurate records and documentation.
Requirements
  • Experience
    • Previous experience in an administrative role, preferably in a logistics or warehouse environment.
  • Skills
    • Excellent communication and interpersonal skills, with the ability to work effectively with colleagues and external stakeholders.
    • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
    • Proficient in Microsoft Office, with experience in using software applications to manage administrative tasks.
  • Personal Qualities
    • Professional, approachable, and helpful, with a strong commitment to delivering high-quality results.
    • Ability to work independently and as part of a team, with a flexible and adaptable approach to work.
