Job Summary

Main Responsibilities
  • Maintain and monitor the practice appointment system to ensure efficient scheduling and minimize wait times.
  • Process personal, telephone, and electronic requests for appointments, providing clear and concise information to patients.
  • Answer incoming calls, transferring calls or dealing with caller requests in a professional and courteous manner.
  • Signpost patients to the correct service or department, ensuring they receive the necessary support and care.
  • Initiate contact with and respond to requests from patients, team members, and external agencies in a timely and effective manner.
  • Clinically code data on our electronic medical records system.
  • Photocopy documentation as required and input data into patient healthcare records as necessary.
  • Direct requests for information, such as SARs, insurance letters, and DVLA forms, to the administrative team.
  • Manage all queries in an efficient and organized manner.
  • Carry out system searches as requested and maintain a clean, tidy, and effective working area at all times.
  • Monitor and maintain the reception area and notice boards, ensuring they are up-to-date and informative.
  • Support all clinical staff with general tasks as requested, providing administrative support to ensure the smooth operation of the practice.
Additional Responsibilities
  • Participate in audits directed by the audit lead, ensuring compliance with practice policies and procedures.
  • Support administrative staff, providing cover during staff absences and ensuring continuity of service.
  • Action incoming emails and correspondence as necessary, responding to patient queries and requests in a timely manner.
  • Scan patient-related documentation and attach scanned documents to patient healthcare records.
  • Complete opening and closing procedures in accordance with the duty rota, ensuring the practice is secure and ready for the next day.
  • Support the practice manager with all Patient Participation Group-related matters, ensuring effective communication and engagement with patients.
  • Support the health promotion lead, displaying promotional material on allocated notice boards and in the waiting room.
Person Specification

We are looking for a highly motivated and organized individual with excellent communication and interpersonal skills. The ideal candidate will have:

  • Good literacy and numeracy skills, with a GCSE-level standard or equivalent.
  • Experience of working with the general public, providing exceptional customer service and support.
  • Strong IT skills, including proficiency in Microsoft Office and Outlook.
  • Excellent time management and organizational skills, with the ability to work under pressure and prioritize tasks effectively.
  • Ability to work as a team member and autonomously, with a flexible and co-operative approach to work.
  • High levels of integrity and loyalty, with a commitment to maintaining confidentiality and upholding practice policies and procedures.
