Job Overview

We are seeking a committed Supply Chain Coordinator to become a vital part of the Healthshare Group. The successful candidate will be enthusiastic about providing exceptional service and identifying cost-effective products to ensure financial efficiency and adherence to budgetary constraints. A solid understanding of clinical governance, including National Standards of Healthcare Cleanliness and effective inventory management practices, is essential for this role.

Key Responsibilities

  • Manage and oversee inventory levels to ensure uninterrupted clinical operations, aiming to minimize waste and prevent overstocking.
  • Collaborate with operational and clinical teams by collecting and presenting insightful data, reports, and analyses related to expenditures and contract management.
  • Conduct productive meetings with essential team members to guarantee timely delivery of supplies and equipment.
  • Propose innovative strategies to enhance current processes and address areas needing improvement.
  • Ensure proper stock rotation and the appropriate disposal and documentation of expired products.
  • Comply with the Medication Management policy and maintain effective stock control.
  • Oversee the asset register and facilitate the procurement of new equipment for the clinic.

Job Responsibilities

The Supply Chain Coordinator will collaborate closely with various personnel from operational and clinical teams, suppliers, and other Healthshare locations. Responsibilities include:

  • Confirming that stock levels are sufficient for the upcoming two weeks of clinical activities.
  • Weekly communication with the Clinical Diagnostics Service Manager, Theatre Manager, Outpatients Manager, and Head of Operations to ensure all necessary supplies for the clinic are ordered.
  • Managing stock control for consumables and medicines, including updating spreadsheets with costings and product codes.
  • Ensuring compliance with National Standards of Healthcare Cleanliness.
  • Conducting biannual stock checks, identifying expiration dates, unused products, and damaged stock, and processing these accordingly.
  • Providing comprehensive data on consumables usage, costs, and savings for each service line in a monthly review presented to the senior leadership team.
  • Performing annual audits of the asset register, ensuring all new equipment is properly tagged and logged.
  • Assisting with invoicing inquiries alongside the management team and finance.
  • Exploring cost-effective options for acquiring new equipment and presenting findings to the Executive Director.
  • Coordinating with other sites for stock transfers or consolidating large orders.
  • Taking ownership of problem investigation and resolution.
  • Participating in daily briefings to ensure effective communication with the Operations Team.
  • Undertaking any additional tasks related to the role as directed by the line manager.

Desired Experience

  • Experience in purchasing or ordering within a medical environment is preferred.
