Position Overview

Healthcare Reception Coordinator / Administrator

An outstanding opportunity has emerged within a healthcare facility to assist the Primary Health Care Team.

We are a welcoming Dispensing Practice with a patient list exceeding 4,000 individuals. Our team comprises 3 GP Partners, 2 Salaried GPs, 3 Practice Nurses, 1 Healthcare Assistant, 5 Dispensers, and an administrative/reception team of 8 staff members, along with a Practice Manager.

This role offers a total of 18 hours per week on a part-time basis.

Work Schedule

Thursday

Friday 1pm - 7pm

Key Responsibilities

The primary responsibility is to deliver reception and administrative support for the practice, engaging with patients, clinical staff, and colleagues in a courteous and efficient manner. Responsibilities include:

  • Assisting and directing patients in accessing the appropriate services or healthcare professionals.
  • Performing various administrative tasks to ensure the seamless operation of the practice in line with established procedures and protocols.

We are looking for a motivated and well-organized individual to join our team. It is essential that candidates are reliable, adaptable, possess effective communication skills, have excellent IT proficiency, and enjoy collaborating within a team environment. A good level of general education is required, including 3 GCSEs at Grade A-C (9-4) in English and Mathematics.

Previous experience in a healthcare setting is advantageous but not mandatory, as comprehensive training will be provided.

Our healthcare facility is situated in a picturesque village, surrounded by natural beauty. We are a 3-partner rural dispensing practice with a patient list of over 4,000 individuals. We uphold a traditional caring ethos while also embracing modern technology. The partners maintain personal patient lists and are dedicated to ensuring continuity of care.

Job Duties

Responsibilities Include:

  • Handling all general inquiries, explaining procedures, and scheduling new and follow-up appointments.
  • Informing new patients about practice arrangements and formal requirements, ensuring all necessary procedures are completed.
  • Ensuring courteous, efficient, and confidential management of patient inquiries and requests.
  • Maintaining efficient and prompt filing, record-keeping, message-taking, and document distribution.
  • Advising patients on relevant charges for private services, processing payments, and issuing receipts.
  • Opening and closing the premises as required, including setting the alarm.
  • Managing telephone operations, including restoring normal daytime use and diverting calls to the Out of Hours Service when necessary.
  • Handling both electronic and paper mail.
  • Ensuring all consulting rooms are adequately stocked before appointments.
  • Utilizing computer systems for appointments, registrations, viewing pathology results, and other data entry tasks.
  • Producing the clinical rota.
  • Accurately inputting data into the clinical computer system and coding patient correspondence as needed, including scanning.
  • Undertaking filing of paper records when necessary.
  • Welcoming and directing patients.
  • Taking patient requests for appointments, visits, test results, and messages.
  • Assisting new patients by explaining practice procedures and completing necessary paperwork and data entry.
  • Being open to training opportunities as required.
  • Participating in regular team meetings, including staff and receptionists meetings.
  • Ensuring smooth handover of staff and relevant messages.
  • Demonstrating flexibility in working hours to facilitate the smooth operation of the practice during staff absences.
  • Maintaining a tidy work environment, particularly in the office, reception area, and waiting room.
