Job Summary

Lewis Silkin LLP is seeking a highly organized and detail-oriented Facilities Operations Assistant to join our team. As a key member of our Facilities Department, you will play a critical role in ensuring the smooth operation of our office facilities.

Key Responsibilities

  • Assist in carrying out all facilities operational and administration tasks, including event planning, meeting room setup, and post-room management.
  • Provide exceptional customer service to stakeholders, including printing and copying services, and troubleshoot issues as needed.
  • Maintain and update records, including machine and software setup, toner replenishment, and courier bookings.
  • Coordinate the delivery and distribution of BRP cards, and assist with the collection of leaver's IT equipment.
  • Act as the first point of contact for facilities helpdesk enquiries and escalate as necessary.
  • Conduct daily office safety checks, including fire evacuations, business continuity, and security.
  • Assist with risk assessments, maintain accurate records, and coordinate training requirements.
  • Manage access control, liaise with third-party contractors, and record and escalate any major issues relating to service standards.
  • Effectively manage stationery levels, archiving processes, and systems, including logging files and deeds on the file track system.
  • Assist with ad-hoc projects, including office moves, desk moves, and maintenance tasks.
  • Support the Facilities team on general maintenance needs, ensuring all office areas are presentable and in good repair.
  • Adhere to and support the firm's environmental initiatives, including recycling and confidential waste disposal.

Requirements

  • Previous experience in an office, professional services, or facilities environment.
  • Knowledge and experience in Smartspace App, Building Management System (BMS), Access control, and CCTV and Lighting systems.
  • IWFM Level 2 Diploma is desirable.
