On Board Support Administrator

The On Board Support Administrator will be a key member of the On Board Services team, providing administrative support to ensure the smooth operation of our services. This role will be based at Bristol Temple Meads Station and will involve working closely with our front-line colleagues to ensure they have the necessary resources and support to deliver excellent customer service.
Key Responsibilities- Manage and maintain crew equipment and uniform, ensuring that all necessary supplies are ordered and available as required.
- Process and distribute information to colleagues, including printing and mail dropping documents as needed.
- Ensure that all administrative tasks are completed in accordance with GDPR guidelines, maintaining the confidentiality and security of sensitive information.
- Post important information on notice boards and ensure that all colleagues are aware of relevant updates and announcements.
- Maintain accurate and up-to-date records of crew information on Paper Vision, ensuring that all necessary documentation is complete and compliant.
- Attend confidential meetings within the GWR network, taking minutes and notes as required.
- Report information to other departments through various systems, ensuring that all necessary data is accurate and up-to-date.
- Provide administrative support to the OBS Managers, taking notes and messages as needed.
- Identify and resolve problems, working with colleagues to find solutions and improve processes.
- Confident user of Microsoft Office, including Word, Excel, and Outlook.
- Experience with ordering systems and ability to manage inventory.
- Proven experience in taking minutes and notes in confidential meetings.
- Previous experience working in an office environment, with a strong understanding of administrative procedures.
- Ability to work under pressure, maintaining a professional and positive attitude in all situations.
- Problem-solving skills, with a positive and cheerful outlook.
- High level of personal presentation, with a professional approach to all tasks and responsibilities.

About the LocationThis role will be based at Bristol Temple Meads Station, and all applicants must live within a 1-hour commute of the depot. The role will have a 25-hour per week work pattern, with a 2-week rota. Week 1 will involve working Monday, Tuesday, Thursday, and Friday, from 09:15 to 15:30. Week 2 will involve working Monday, Tuesday, Friday, and Saturday, from 09:15 to 15:30.
