Venn Group is seeking an experienced Administrative Support Specialist to provide high-quality administration and efficient support to the Chief Executive of an NHS organisation in the South West.

Main Responsibilities:

  • Diary Management: Provide effective and efficient diary management, ensuring the Chief Executive's schedule is well-organized and up-to-date.
  • Communication: Be the first point of contact in person and by telephone, responding to queries and concerns in a professional and courteous manner.
  • Meeting Administration: Administrate meetings by preparing agendas, taking accurate minutes, and circulating them to relevant parties.
  • Action Tracking: Create action trackers and follow-up outstanding issues that emerge from the Chief Executive's and Chair's work and meetings.
  • Email and Telephone Communication: Answer email communication and telephone contact with complainants, signposting to the Complaints Department and Patient Advice and Liaison Service (PALS) as necessary.
  • Stakeholder Liaison: Liaise effectively with external stakeholders, including NHS England, primary care, local authorities, MPs, and other organizations, as required.

Essential Skills:

  • Previous Secretarial Experience: Previous experience as a secretary or administrative assistant within the NHS.
  • Diary Management and Minute-Taking: Experience in diary management and taking high-quality minutes.
