Position Overview

The HR Administrator plays a vital support role within the HR department at Logistics UK, tasked with delivering a thorough and client-focused administrative service to both internal and external stakeholders. This position encompasses all phases of the employee lifecycle, including document preparation, employee record maintenance, and ensuring that both employees and managers receive the necessary support in accordance with organizational policies, procedures, and legal standards. With a strong attention to detail and the ability to operate efficiently, the HR Administrator facilitates all HR and Talent administration functions.

Key Responsibilities

The following responsibilities outline the natural progression of the employee lifecycle without indicating task prioritization.

Talent Acquisition

  • Assist the Talent & Development Advisor in posting job openings internally and externally using our Applicant Tracking Software (ATS).
  • Support candidate communications, including scheduling interviews through the ATS.
  • Prepare and distribute new hire contracts and offer letters utilizing Logistics UK's templates.
  • Conduct reference and right to work verifications for new hires with due diligence.

Onboarding & Orientation

  • Establish new employees in Logistics UK's HR Information System and inform relevant departments of their start details.
  • Share new hire profile announcements internally on appropriate platforms.
  • Serve as a contact point for new employees throughout their onboarding journey, providing necessary information.
  • Oversee the probation review process while assisting managers, ensuring all documentation is properly filed and any concerns are promptly escalated to the HRBP or Advisor.
  • Collect and analyze feedback from new hires regarding the induction process using the survey system, escalating issues within the HR team as needed.

Payroll Coordination

  • Collaborate closely with the Payroll team to ensure accurate processing of payroll changes, communicating with relevant personnel in line with the monthly payroll schedule.

Employee Benefits Management

  • Administer employee benefits and liaise with providers as necessary, including setting up new joiners with health benefits and pension enrollments, ensuring records are updated with any changes or departures.
  • Assist in onboarding new employees onto the pension portal.
  • Support the HR team with reporting and administration during the annual benefits renewal process, including Health Cash Plan and Private Medical Insurance schemes.

Exit Administration

  • Manage the leavers process as required, including communication with line managers and the HR team, drafting letters to employees confirming departure arrangements.
  • Ensure timely collection of exit feedback and escalate issues to the HRBP and Advisor.
  • Respond to reference requests for current or former employees.

General HR Administration

  • Oversee the ongoing maintenance of employee records, including processing changes in the HR System and drafting contract amendment letters.
  • Compile statistics and generate reports from the HR system on an ad hoc basis as requested.
  • Manage the general HR email inbox, providing first-line support to employees and managers, escalating issues to other HR team members as necessary.
  • Support the absence management process by monitoring the completion of return-to-work meetings by managers, escalating to HRBPs when necessary.
  • Ensure efficient filing for current employees, leavers, and pensioners, including managing the annual archiving process.
  • Assist the HR team in administering the annual salary review process.
  • Support compliance with information security processes and procedures related to ISO27001 across the team.
  • Assist the HR Team with archiving, quarterly audits, HR KPIs, and retention deadlines.

Qualifications

  • Ability to manage various process schedules with exceptional attention to detail.
  • High degree of accuracy is essential.
  • Proficient in managing multiple tasks with effective time management skills, capable of planning within short timeframes and meeting deadlines, including payroll.
  • Demonstrates a proactive approach, taking initiative in problem-solving and implementing system and process enhancements.
  • Quick learner with a positive attitude.
  • Excellent written and verbal communication abilities.
  • Discreet, with the capacity to act with tact and diplomacy.
  • Organized and efficient, with experience in maintaining comprehensive record systems.
  • Collaborative team player dedicated to supporting organizational objectives, yet capable of working independently and taking ownership of tasks and outcomes.
  • Previous experience in an administrative role is preferred but not mandatory.
  • Familiarity with HRIS systems/databases/CRM systems or similar databases.
  • Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, and OneNote) at an intermediate level.
