Administrative Support Specialist

Alnwick Medical Group is a large medical practice with a diverse patient base and multiple operational sites. We are seeking a skilled Administrator to provide administrative support to our Scanning & Coding subdepartment and other areas of the Administration Department.
About the RoleThe successful candidate will be responsible for providing high-quality administrative support, working closely with our clinical staff to ensure seamless operations. This is a key role that requires strong organizational skills, attention to detail, and excellent communication skills.
Main Responsibilities- Accurately scan and code patient clinical records into our practice computer system, adhering to our established scanning and coding protocol.
- Review medical records to produce comprehensive summaries of patients' medical histories.
- Sort and manage patient records and correspondence.
- Ensure knowledge of the Read Codes system and input data accurately.
- Retrieve patient medical records and interpret data for clinical staff members.
- Audit data collection to ensure compliance with practice standards.
- Maintain patient registration and recall systems.
- Ensure medical records are complete and accurate prior to each consulting session.
- Develop and maintain a methodical filing system for quick retrieval of files.
- Perform general upkeep of paper files, including repair and maintenance.
- Maintain familiarity with scanning and coding protocols.
- Provide minute-taking services for multi-agency and in-house meetings.
- Perform other reasonable duties within the scope of the role.
- GCSE (or equivalent) in Maths and English.
- NVQ (or equivalent).
- Basic IT skills.
- Excellent communication and interpersonal skills.
- Ability to work calmly and methodically under pressure.
- Flexibility, reliability, and responsiveness to change.
- Ability to manage workload and meet deadlines.
- Uses initiative and common sense when appropriate.
