Job Title: Administrator

Alnwick Medical Group is a large medical practice with a diverse patient base and multiple operational sites. We are seeking a skilled Administrator to provide administrative support to our Scanning & Coding subdepartment and other areas of the Administration Department.

About the Role

The successful candidate will be responsible for providing high-quality administrative support, working closely with our clinical staff to ensure seamless operations. This is a key role that requires strong organizational skills, attention to detail, and excellent communication skills.

Main Responsibilities
  • Accurately scan and code patient clinical records into our practice computer system, adhering to our established scanning and coding protocol.
  • Review medical records to produce comprehensive summaries of patients' medical histories.
  • Sort and manage patient records and correspondence.
  • Ensure knowledge of the Read Codes system and input data accurately.
  • Retrieve patient medical records and interpret data for clinical staff members.
  • Audit data collection to ensure compliance with practice standards.
  • Maintain patient registration and recall systems.
  • Ensure medical records are complete and accurate prior to each consulting session.
  • Develop and maintain a methodical filing system for quick retrieval of files.
  • Perform general upkeep of paper files, including repair and maintenance.
  • Maintain familiarity with scanning and coding protocols.
  • Provide minute-taking services for multi-agency and in-house meetings.
  • Perform other reasonable duties within the scope of the role.
Key Skills and Qualifications
  • GCSE (or equivalent) in Maths and English.
  • NVQ (or equivalent).
  • Basic IT skills.
  • Excellent communication and interpersonal skills.
  • Ability to work calmly and methodically under pressure.
  • Flexibility, reliability, and responsiveness to change.
  • Ability to manage workload and meet deadlines.
  • Uses initiative and common sense when appropriate.
