We are pleased to present an opportunity for an Assistant Operations Manager specializing in Void & Planned Works to become part of our dynamic team at Regen Solutions.

Role Overview:

As the Assistant Operations Manager, you will play a pivotal role in overseeing a team of skilled tradespeople and contractors, ensuring the delivery of exceptional, customer-oriented services.

Key Responsibilities:

  • Lead and inspire a team of supervisors to provide outstanding customer service, ensuring high satisfaction levels through effective recruitment, training, and performance management.
  • Ensure all operations are conducted safely and responsibly, maintaining cleanliness and minimizing disturbances.
  • Meet client performance metrics by ensuring timely and quality completion of maintenance tasks within budget.
  • Oversee the scheduling of operatives, contractors, and supervisors to enhance efficiency and productivity.
  • Collect and analyze performance data to ensure team targets are achieved.
  • Conduct inspections of both planned and void properties, providing comprehensive reports and specifications for internal and external stakeholders.
  • Authorize work orders, variations, and invoices within established guidelines.
  • Perform pre- and post-void property inspections to ensure quality and value for money.
  • Maintain operational ICT systems, ensuring timely updates and accurate recording of work completed.
  • Collaborate with material suppliers to enhance productivity and reduce turnaround times for void properties.
  • Monitor subcontractor performance to ensure compliance with standards and deadlines.
  • Conduct periodic audits of van stock and equipment to ensure operational readiness.
  • Implement health and safety protocols, including staff induction and training reviews.
  • Work with internal teams to identify and address any operational challenges.
  • Utilize communication tools and ICT equipment effectively among staff.
  • Engage with the Customer Feedback team to address and resolve customer inquiries in accordance with company policies.
  • Identify opportunities for service enhancements and innovations.
  • Represent the organization professionally in various meetings and forums.
  • Adapt to flexible working patterns to ensure effective service delivery.
  • Participate in the standby duty rota as required.
  • Uphold governance standards, ensuring operational effectiveness and risk management.
  • Contribute to projects aimed at optimizing services for the community and partners.
  • Assist in monitoring the financial performance of maintenance streams, ensuring productivity and profitability targets are met.
  • Provide operational support across various business areas as needed.

Essential Qualifications and Skills:

  • Relevant professional qualifications or equivalent experience.
  • Strong understanding of safeguarding issues relevant to the role.
  • Successful completion of a DBS check is mandatory.
  • Valid driving license and access to a vehicle for site visits.
  • Experience managing a diverse team in the maintenance sector.
  • Knowledge of health and safety regulations and practices.
  • Proven experience in planning and executing maintenance for both void and occupied properties.
  • Ability to prepare specifications and manage contractor relationships while controlling costs.
  • Proficient in using data to enhance service delivery and productivity.
  • Experience in conducting van audits and optimizing stock levels.
  • Strong problem-solving skills and ability to manage challenges constructively.
  • Familiarity with ICT systems and ability to analyze and report on performance data.
  • Support the integration of new technologies and methods to improve service quality.
  • Commitment to continuous professional development in the building maintenance field.
  • Excellent communication and interpersonal skills with a strong customer service orientation.
