This role presents an excellent opportunity for an Operations Management Assistant to become part of a dynamic team at Regen Solutions.

Key Responsibilities:

  • Lead and inspire a team of supervisors to provide outstanding customer service, ensuring high levels of client satisfaction through effective recruitment, training, and performance management.
  • Ensure all operations are conducted safely and responsibly, maintaining cleanliness and minimizing disturbances.
  • Meet client performance metrics by ensuring timely completion of maintenance tasks within budget and quality standards.
  • Oversee the scheduling of operatives and contractors, enhancing efficiency and productivity.
  • Collect and analyze performance data to ensure targets are consistently achieved.
  • Conduct thorough inspections of both planned and vacant properties, delivering detailed reports and specifications.
  • Authorize work orders, variations, and invoices in line with established guidelines.
  • Perform pre- and post-inspections to guarantee value and quality.
  • Maintain accurate records in operational ICT systems to support financial and performance reporting.
  • Collaborate with material suppliers to optimize productivity and reduce turnaround times.
  • Monitor subcontractor performance to ensure compliance with standards and deadlines.
  • Conduct regular audits of van stock and equipment.
  • Implement health and safety protocols, including staff training and risk assessments.
  • Work with internal teams to identify and address any issues.
  • Utilize communication tools effectively among staff.
  • Engage with the Customer Feedback team to address client feedback in accordance with company policies.
  • Identify opportunities for service enhancements and innovations.
  • Represent the organization professionally in various forums.
  • Adapt to flexible working hours to meet service demands.
  • Participate in on-call duties as necessary.
  • Uphold governance standards, ensuring operational effectiveness and risk management.
  • Contribute to projects aimed at enhancing service delivery for the community and partners.
  • Assist in monitoring the financial performance of maintenance streams, ensuring productivity and profitability targets are met.
  • Provide support across other operational areas as needed.

Essential Qualifications and Skills:

  • Relevant professional qualification or equivalent experience.
  • Understanding of safeguarding issues relevant to the role.
  • Successful completion of a DBS check is mandatory.
  • Valid driving license and access to a vehicle for site visits.
  • Experience managing a diverse team in the maintenance sector.
  • Knowledge of health and safety regulations affecting operatives and subcontractors.
  • Experience in planning and overseeing maintenance for both vacant and occupied properties.
  • Ability to prepare specifications and manage contractor costs effectively.
  • Proficient in using data to enhance service delivery and productivity.
  • Experience with van audits and optimizing trade-specific stock.
  • Strong problem-solving skills and ability to handle challenges positively.
  • Proficient in ICT systems, with the ability to analyze and report on financial and performance data.
  • Supportive of new technology and methodologies to improve service quality.
  • Commitment to continuous professional development in the building maintenance field.
  • Excellent communication and interpersonal skills, with a strong focus on customer service and negotiation.
