About the Role

We are seeking a highly skilled Deal Desk Operations Specialist to join our team at Aspen Technology. As a key member of our Sales Operations function, you will play a critical role in supporting our global sales teams to achieve their sales objectives.

Key Responsibilities
  • Quote Management: Generate both standard and non-standard quotes to support sales efforts, including software, maintenance renewals, and services-related orders.
  • Quote to Contract Process: Provide support and assistance to the Sales team as needed to support the quote to contract process.
  • Order Administration: Collaborate with Sales, Licensing, and Accounting to enter customer orders, administer the Authorization and Approvals policy, and ensure compliance to both process and policy.
Management of Order Process
  • Quote Preparation: Prepare quotes, review for accuracy and completeness, and obtain required approvals per policy.
  • CRM System Updates: Update in-house CRM systems to ensure up-to-date information is readily available.
  • Order Closure: Provide general data to Finance to close orders and process them for invoicing.
  • Global Sales Admin Support: Provide support and assistance to the Global Sales Admin Team as and when required.
Licensing Administration
  • Licensing Support: Support license administration by preparing required documentation, ensuring customer requirements from quotes and contracts are accurately reflected in the license configuration details.
Document Handling & Coordination
  • Documentation Requirements: Demonstrate understanding of the documentation requirements for each process.
  • Document Security: Ensure all documentation is secured in the appropriate system(s).
  • Sales Forecast: Demonstrate familiarity with current sales forecast and provide various reports as needed.
Requirements
  • Relationship Management: Strong relationship management and communication skills, with the ability to work with and manage the expectations of business partners and understand customer requirements.
  • Team Collaboration: Ability to work effectively within a geographically dispersed group.
  • Time Management: Ability to work under pressure to deadlines.
  • Self-Motivation: Self-motivated with the ability to learn complex systems quickly.
  • Organization: Well-organized and methodical, with the ability to multi-task efficiently.
  • International Sales Experience: Experience working in a fast-paced international sales environment.
  • Additional Hours: Able to work additional hours during peak periods.
Preferred Qualifications
  • Commercial Experience: Experience working on commercial quotes, commercial/technical proposals, order preparation, and ERP systems.
  • Business Applications: Knowledge of back-office business applications such as Epicor, Oracle, and Salesforce.
  • Excel Skills: Intermediate knowledge of Excel.
  • Language Skills: English (required), second language skills would be advantageous but are not essential.
