Immediate Contract Support / Office Manager Opportunity

CBW Staffing Solutions is currently recruiting for an experienced Contract Support to join their team on a temporary ongoing basis. The successful candidate will be immediately available and able to complete the required dates and hours.

Key Responsibilities:
  1. Patrol the admin area daily to ensure everything is in order
  2. Manage the cleaner and cleaning schedule to maintain a clean and organized workspace
  3. Oversee employee schedules to ensure smooth operations
  4. Coordinate CMI delivery and inventory office supplies
  5. Establish and maintain office procedures to ensure efficiency
  6. Assist the senior management team as needed
  7. Provide excellent written and verbal communication
  8. Support CMI customer visits, including setup and coordination
  9. Maintain data accuracy in call logging tools
  10. Manage time and workload to meet service levels
  11. Accurately document calls and cases in the database
  12. Initiate problem management workflow and identify areas for improvement
  13. Responsible for daily office administration duties, including procurement and maintenance of office equipment and contracts
  14. Provide administrative support, including records keeping and document filing
  15. Assist with company events, data centre visitors, and staff activities
  16. Perform ad hoc duties as assigned
  17. Administration duties include minute taking, meeting room arrangement, and document preparation
  18. Reconcile payments due and received from third-party providers
  19. Maintain registers and client information database
  20. Document proofreading and file organization
  21. Maintain holiday and sickness records for property managing staff
  22. Diary management and general team support
  23. Coding invoices and escalating concerns to the Data Centre Asset Manager
  24. Actively communicate with the IDC, MEP, FM, and CMI teams
  25. Answer telephone calls and deal with client/supplier queries
  26. Other general team support work for MEP, IDC, Security teams, and CMI staff
  27. Bookkeeping, including scheduling expenses and arranging payments
  28. Raising contractor POs and closing out invoices
  29. Formatting PowerPoint presentations with the support of the MEP manager/Head of Data Centres
  30. Source and procure required items and services
  31. Other office support tasks as needed

Requirements:

  • Excellent written and verbal communication skills
  • Fluent in English, with Chinese language skills an advantage
  • Proficiency in PC applications, including MS Office Suite
