Key Responsibilities:

  • Effectively manage calendars, appointments, and meeting schedules, ensuring deadlines are met.
  • Coordinate travel logistics, including flights, accommodations, and transportation through our designated travel system.
  • Prepare and refine correspondence, presentations, and reports as necessary.
  • Organize meetings, arrange hospitality, and welcome clients.
  • Handle sensitive information with utmost discretion and maintain confidentiality.
  • Assist with special projects, events, and various ad hoc tasks as required.
  • Prioritize and manage incoming communications, including emails.
  • Anticipate the needs of executives and proactively address them.
  • Input weekly timesheets accurately.
  • Process expense reports and mileage claims efficiently.
  • Collaborate with Front of House to ensure seamless operations and support company initiatives.
  • Develop a comprehensive understanding of the agency's personnel, dynamics, and current affairs.
  • Act as a sounding board for the cultural implications of business decisions.

Qualifications:

  • Demonstrated experience as an Executive Assistant or in a similar capacity, ideally within a dynamic environment.
  • Outstanding communication and interpersonal abilities.
  • Strong organizational skills and meticulous attention to detail.
  • Friendly and approachable demeanor.
  • Capability to interact with clients and colleagues at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize effectively.
  • Trustworthiness and discretion in handling confidential information.
  • Adaptability and readiness to embrace new challenges.
  • Previous experience in the advertising or marketing sector is advantageous.
  • Basic data management skills, including charting and pivot tables in Excel, are a plus.
