About the Role

We are seeking a highly organised and detail-focused Business Support Administrator to join our team at EMCOR UK. As a key member of our facilities management team, you will play a crucial role in supporting the delivery of our NEC contract for both New Works and Maintenance activities.

Key Responsibilities
  • Provide administrative support to the Technical Coordinator, ensuring the Document Control Centre and Risk register are up-to-date and utilised effectively.
  • Manage and coordinate all NEC correspondence, ensuring it is accurately referenced, stored, and communicated.
  • Analyse and review detail in the DCC to provide management reports and maintain data integrity.
  • Work closely with Project Managers and Maintenance Managers to ensure all actions and communications are completed within the timescales detailed within the NEC process.
  • Develop and maintain a deep understanding of the NEC process, becoming the subject matter expert and point of contact for all queries.
  • Attend risk register meetings as required, providing risk detail to the customer from the DCC.
  • Contribute to the development of EMCOR processes and procedures to create best practice solutions in managing NEC.
  • Work with New Works management and WSOs to create and maintain a plan of work for project activity.
  • Review project plans weekly and provide communication to customers of any changes to delivery dates.
  • Provide administrative support to the Helpdesk and Project Managers, keeping up-to-date with high-profile project work and providing support as required.
  • Input data onto client and local databases, ensuring a high level of accuracy.
  • Deal with requests in accordance with contract KPIs to ensure the required service level is achieved.
  • Attend to all related queries from internal and external clients within specified timescales, ensuring high levels of customer satisfaction.
  • Assist with general office duties, including report preparation, filing and archive management, and scanning of critical documentation.
  • Maintain and manage contract mobile phones and fleet.
  • Monitor and replenish stationery supplies.
  • Book visitors onto site, ensuring continuity of work and meeting customer requirements.
  • Assist with annual site security pass validation for EMCOR employees and subcontractors.
  • Act as a central hub of information, supporting colleagues and customers as the first point of contact.
  • Use the Accounts System JDE to raise purchase orders.
  • Ensure up-to-date training on system applications, attending training courses or self-taught modules as required.
Requirements
  • Proven ability to provide high-standard administrative support, including implementing systems and processes and resolving problems.
  • Excellent interpersonal and communication skills, with the ability to liaise with customers and staff at all levels in both written and spoken English.
  • Keen eye for detail.
  • Demonstrated ability to contribute as a member of a team to achieve positive outcomes and provide quality service to customers.
  • Flexible approach to all duties and ability to work on own initiative.
  • Demonstrated organisational and time management skills, including managing competing priorities, monitoring and coordinating processes, and achieving tight deadlines.
  • Demonstrated experience in computer applications, including Microsoft Office (Word, Excel, PowerPoint), email, and databases.
