Job Description

Job Title: Training Administrator

Job Summary:

SP Training is seeking an experienced Training Administrator to join our administration department. As a key member of our team, you will be responsible for providing administrative support to our training operations, ensuring the smooth delivery of our commercial and funded training programs.

Main Responsibilities:

  • Course Administration: Organize and coordinate training courses, including checking eligibility, sending joining instructions, arranging resources, and answering queries.
  • Learner Support: Provide day-to-day support to learners, ensuring a seamless journey through their learning, and offering advice and guidance as needed.
  • Registration and Certification: Register learners for qualifications, tests, and exams, and ensure that certificates are downloaded and saved in the correct learner files.
  • Exam Booking and Results: Book exams, liaise with external clients to plan exam dates, and roll out results via mail merge.
  • Access Planit and Excel Spreadsheets: Set up courses on our internal CRM Access Planit, update learning trackers using Excel, and ensure that departmental attendance is up-to-date.

Business Development:

  • Client Enquiries: Answer client enquiries politely and deal knowledgeably with clients, providing advice and guidance as needed.
  • Marketing Campaigns: Assist with marketing campaigns for all company training and revenue-earning activities.

Programme Support:

  • Programme Materials: Ensure that all programme materials and training aids are in place for training courses.
  • Candidate Registration: Register candidates in a timely manner, issuing certification where appropriate.

Contract Performance:

  • Information Reporting: Assist in producing information required relating to learners, learner numbers, and expected outcomes.
  • Contractual Documentation: Ensure that all contractual documentation is completed correctly and forwarded to meet deadlines.

Health and Safety:

  • Risk Assessments: Be aware of Health and Safety Policies, including risk assessments.
  • Safe Working Practices: Ensure that safe working practices are followed, including the safe handling and use of substances.

Quality Assurance:

  • Training Delivery: Ensure that all training is delivered in accordance with awarding body and contract requirements for quality and contractual specifications.
  • Programme Evaluation: Review and evaluate training programs, identifying areas for improvement.
  • Inspections and Audits: Contribute to the organization of preparations for relevant inspections by funding and awarding bodies, supporting management.

  • Quality Assurance Processes: Comply with the company's Quality Assurance Processes and embrace the ethos of continuous improvement.
  • Health and Safety Legislation: Comply with health and safety legislation and abide by the company's Health and Safety Policy.

Liaison, Co-ordination, and Development:

  • Liaison with Staff: Liaise with other staff as appropriate in the continuous development of the organization.
  • Liaison with External Bodies: Liaise and co-ordinate with external bodies, including employers, employment services, skills funding agencies, colleges, other client organizations, and suppliers.
  • Preparations for Inspections: Liaise and assist in the preparation for inspections and other audit teams.

Business-Focused Self-Development:

  • Self-Development: Take responsibility for self-development in line with the organization's operations and strategic objectives.
  • Professional Conduct: Present and conduct yourself in a diligent and professional manner to learners and others to promote the company at all times.

Safeguarding of Learners:

  • DBS Check: Be prepared to undertake a DBS check and disclose it to the employer if requested.
  • Safeguarding Policy: Apply the company's safeguarding policy, PREVENT, and other procedures.
