Overview

This advertisement is for a Talent Pool, meaning that we will reach out to candidates when a Scheduling Coordinator position becomes available.

As a Scheduling Coordinator, your primary responsibility will be to ensure that maintenance personnel are allocated effectively to carry out vital maintenance tasks, thereby enabling us to maintain a safe and efficient service for our passengers and freight clients.

You will undergo a comprehensive training program lasting 5-6 weeks to equip you with the necessary skills to thrive in this role.

Key Responsibilities

Your role will involve the creation and management of efficient employee schedules that comply with company standards and adhere to national rostering principles, competency requirements, and agreed terms and conditions.

We offer this position on a permanent full-time basis, with options for part-time hours or job sharing available.

About the Role

This position has emerged as part of our initiative to modernize our maintenance operations. While prior experience in staff scheduling is advantageous, we welcome applications from individuals with a suitable blend of skills, including:

  • Exceptional attention to detail
  • A strong determination and curiosity to solve challenges
  • The ability to plan effectively while being adaptable to last-minute changes
  • Capability to manage multiple tasks simultaneously, prioritizing effectively
  • Proficiency in IT, particularly in Excel and Word, along with the ability to learn our specialized scheduling system

As this is a new role, we will provide a tailored training package that includes:

  • An introduction to our organization and its structure
  • A classroom-based course on Effective & Efficient Scheduling to prepare you for success
  • Training on Fatigue Management standards and conducting fatigue assessments
  • Site visits to meet maintenance teams and understand local operational needs
  • Meetings with Section Managers to grasp their business requirements
  • Formal training in Excel

Daily Activities

Each day will present unique challenges, and you can expect to engage in the following tasks:

  1. Compile and publish agreed schedules using the corporate scheduling tool, adhering to Maintenance Scheduling Principles and company policies.
  2. Prepare weekly schedules that account for absences, training, and special arrangements, collaborating with line managers to verify roster data.
  3. Manage last-minute schedule changes, coordinating with affected employees and line managers, and addressing any roster-related inquiries.
  4. Arrange schedules for medical assessments and interviews.
  5. Coordinate schedules for safety-critical competency expirations, training sessions, and briefings.
  6. Monitor competency records to ensure all shifts are adequately covered.
  7. Collaborate with Competency Delivery Specialists to maintain accurate competency records.
  8. Collect and analyze fatigue data, bringing any concerns to the attention of the relevant line manager.
  9. Provide necessary information and data to support reporting requirements for the route and delivery unit.
