Job Title: Multi Service Assistant

Job Summary:

We are seeking a highly organized and detail-oriented Multi Service Assistant to join our team at Williams Lea Limited. As a key member of our support services team, you will be responsible for delivering exceptional electronic and hard copy file management services, working with our practice management system to log and record documents, and maintaining all filing and work areas in a tidy and orderly manner.

Key Responsibilities:

  • Deliver high-quality file management services, including returning or adding documents to existing client files
  • Work with the practice management system to log and record documents, ensuring accuracy and efficiency
  • Maintain all filing and work areas in a clean and organized state, adhering to company standards
  • Collect and process incoming mail, sorting and distributing it to the centralised filing area
  • Operate and maintain equipment, troubleshooting problems and placing service calls as needed
  • Follow stock and consumable procedures, replenishing copiers with necessary supplies
  • Prioritise jobs and meet customer requirements and deadlines
  • Provide photocopying, scanning, and printing services as per customer instructions
  • Collect and complete information required for billing or client charge back data
  • Ensure job requests are tracked on the system properly before beginning new requests
  • Understand and comply with company standards, seeking ways to improve operations and suggest approved ideas
  • Bind final form documents and perform extensive computer and data-related tasks

Requirements:

  • Experience in administration and document production
  • Strong computer literacy and ability to work with internal and external portals/systems
  • Excellent communication and customer service skills
