Position Overview:
This role is situated within the Highways, Transport and Planning (HTP) Directorate. As an Administrative Support Specialist, you will report to a Team Leader and be responsible for delivering a customer-centric and efficient administrative service. Your daily tasks will be prioritized according to team needs and service goals.
Key Responsibilities:
· Provide timely and effective administrative assistance to teams, maintaining awareness of priorities and requirements.
· Foster positive working relationships with managers and colleagues to ensure effective service delivery.
· Manage your daily workload, collaborating with colleagues to achieve objectives and maintain a customer-focused approach.
· Oversee incoming email correspondence and manage website updates.
· Produce complex, accurate, and grammatically correct documentation, including reports and correspondence.
· Organize large-scale events and meetings, ensuring all necessary reports are prepared and provided.
· Handle the processing of Purchase Orders, invoicing, and other financial administrative tasks.
· Maintain both computerized and manual records related to the service accurately and appropriately.
· Refer complex or technical inquiries to the appropriate personnel, working under guidance for unusual or challenging issues.
· Follow established procedures to independently respond to day-to-day queries via telephone, email, and written communication, utilizing initiative to resolve unexpected challenges as needed.
· Ensure careful handling of confidential and sensitive information related to the service.
Essential Skills and Experience:
· Strong communication skills for effectively addressing telephone, email, and in-person inquiries, engaging with both staff and customers.
· Proficient written communication skills for producing accurate meeting minutes, drafting correspondence, and presenting data and financial information clearly.
· Solid numeracy skills for performing accurate financial calculations and data collection in a methodical manner.
· Analytical and problem-solving abilities to interpret specialized information and determine appropriate actions based on relevant policies and procedures.
· Capacity to identify efficient working methods, adapt positively to change, and learn new systems and processes effectively.
· Proficient IT skills for daily use of office applications such as Microsoft Outlook, Teams, Word, and Excel.
Qualifications:
· Minimum of 4 GCSEs with grades A-C / 4-9, including Maths and English, or equivalent qualifications demonstrating requisite numeracy and literacy.
Additional Information:
· Pay Scale: Grade 5
· Working Hours: Full-time, Monday to Friday
