About the Role

We are seeking an experienced Administrative Assistant to join our team at Activate Group Limited. As an Administrative Assistant, you will play a crucial role in facilitating parts orders for our AAR repair centres, ensuring accurate and timely processing of orders and swift invoicing upon completion.

Key Responsibilities
  • Process orders placed by AAR repair centres from receipt of parts required, through to parts being delivered and invoice requests upon completion.
  • Answer telephone queries and provide excellent customer service.
  • Chase supplier invoices and claim references.
  • Assist with the preparation of sales invoices by email, including additional documentation as required by our clients.
  • Provide general administrative support to the team, including maintaining databases and reporting.
  • Monitor jobs authorised by Engineers to ensure repairers are ordering parts correctly.
  • Complete ad-hoc projects as required from time to time.
Requirements
  • Proficient in the use of Outlook, Excel, and Word.
  • Excellent communication skills, particularly telephone-based.
  • High standards of accuracy and attention to detail.
  • Able to work on own initiative and as part of a team.
  • First-class customer service skills and the ability to work with internal and external stakeholders at all levels.
