Job Overview

We are looking for a dedicated and dependable individual with strong communication and interpersonal abilities to become a member of our administrative and clerical team. This role requires a commitment to working hours Monday through Friday until 5pm.

Responsibilities will encompass data management and various administrative tasks. Candidates should possess a flexible mindset and demonstrate the ability to take initiative.

A minimum of GCSE-level education with a passing grade in English is required. Proficiency in accurate data entry and general computer skills is essential. Previous experience in a reception or administrative capacity is also necessary. Attention to detail and precision are critical for success in this position.

Key Responsibilities

The successful candidate will exhibit excellent typing, administrative, and communication skills. You will be responsible for ensuring that all clinical correspondence is accurately typed and processed within designated timeframes, with a strong focus on detail.

Duties will also include scheduling appointments, dispatching clinic letters, and addressing any outpatient inquiries directed to the department.

Daily interactions will involve face-to-face, telephone, and electronic communication with other administrative and clerical personnel, as well as various staff groups within the organization, external agencies, patients, and their caregivers.

The role requires collaboration with other secretarial colleagues to provide comprehensive support to the community pediatric team.

Job Duties

- Ensure that correspondence addressed to clinical teams is collected, sorted, and recorded promptly.

- Provide a welcoming and professional service while addressing inquiries in accordance with organizational policies.

- Assist clinicians with administrative tasks, utilizing IT systems and ensuring timely completion of necessary paperwork.

- Perform all duties in alignment with standard operating procedures to meet organizational Key Performance Indicators.

- Manage telephone and personal inquiries from patients, relatives, and external bodies, escalating issues as necessary.

- Accurately record and update computerized patient records in a timely manner.

- Assist with the typing of medical correspondence using audio transcription and relevant IT systems.

- Undertake general secretarial duties, including faxing, photocopying, and filing, to support the smooth operation of the department.

- Ensure the confidential management of patient records and the timely return of documentation to the appropriate departments.

- Support the preparation of patient records for admissions, transfers, and discharges.

- Maintain accurate records of patient case notes entering and leaving the department.

- Provide assistance and training to colleagues as needed.

- Carry out general administrative duties and provide clerical support as required.

Required Qualifications

- RSA Level 2 typing/word processing or equivalent experience.

- A solid educational background.
