Role Overview
This position involves administrative responsibilities within the Probation Service.
Summary
The individual in this role will deliver essential administrative support, ensuring that both staff and service users receive assistance through efficient processes. You will maintain administrative systems within specified timelines to help achieve team and divisional goals.
In accordance with Probation Service policies, the role requires a commitment to equality and inclusion, recognizing their importance in your work.
This position may necessitate some out-of-hours work.
Key Responsibilities
The job holder will be expected to undertake the following duties:
- Establish and maintain accurate records for offenders and victims on approved databases.
- Facilitate effective administration of referrals and relationships among offender management, victims, interventions, service providers, and external agencies to enhance outcomes, manage risks, and reduce reoffending.
- Prepare, maintain, and compile case records and management information in line with required standards.
- Disseminate information and communications appropriately, utilizing various methods such as telephone, paper, and email.
- Provide efficient reception and telephone inquiry services.
- Act as the primary contact for specific areas of work as needed.
- Handle interactions with service users, including those in distress or displaying challenging behavior, while seeking appropriate support as per office procedures.
- Coordinate practical arrangements, such as appointments and directions, for implementing the Sentence Plan.
- Conduct enforcement administration as required.
- Issue petty cash, vouchers, or warrants for travel costs, maintaining accurate records in accordance with local financial procedures.
- Ensure the availability of necessary equipment and materials for case management activities.
- Report any faulty equipment or materials to management for replacement or repair.
- Maintain systems to ensure the effective use of unit resources and recommend improvements as necessary.
- Perform specific administrative tasks in accordance with established procedures.
- Attend and support meetings, including organizing agendas and taking minutes.
- Ensure compliance with Health and Safety policies, conducting equipment tests as required.
- Provide coverage within the unit and to other units as appropriate.
- Fulfill safeguarding responsibilities in accordance with statutory obligations and agency policies.
- Exhibit pro-social modeling skills by reinforcing positive behavior and challenging negative behavior.
- Work in alignment with the aims and values of the National Probation Service.
