We are looking for a Programme Administrative Officer to support a dynamic and established project team within our Hydro Climate Risk sector. Reporting directly to the Programme Manager, you will be instrumental in providing vital support, ensuring the team has the necessary resources and information to execute various research initiatives.

Your responsibilities will include:

  • Collaborating closely with the Project Office to prepare preliminary materials such as meeting agendas, external communications, and outreach content
  • Assisting in the planning, design, and management of programme or project activities
  • Monitoring and reporting on the progress of the programme or project
  • Coordinating workshops and meetings, including venue sourcing and catering arrangements
  • Documenting and tracking project progress during meetings, distributing minutes, and proactively managing action items
  • Engaging with stakeholders, providing updates, and collecting feedback
  • Assisting with risk management and proposing mitigation strategies
  • Establishing a document library and ensuring compliance with project standards and requirements

For the role of Project Management Assistant, we are looking for candidates who possess:

  • Demonstrated experience in fast-paced environments, managing administrative tasks such as minute-taking, agenda preparation, and travel coordination
  • A foundational understanding of project management methodologies or a strong desire to pursue a career in this field
  • An interest in academic or scientific research settings
  • A proactive, team-oriented attitude, ready to support both personal and team objectives
  • The ability to work independently while effectively managing time for both long-term and short-term tasks
  • Flexibility to prioritize and handle a diverse workload across multiple projects
  • Confidence in liaising with internal and external stakeholders
  • Proficiency in MS O365, SharePoint, Power BI, and videoconferencing tools

Knowledge of the following would be highly beneficial:

  • Experience in supporting multiple projects or complex programmes
  • A proven ability to assist in delivering projects on time and within budget
  • Experience in setting up Management Information Systems (MIS) for projects
  • Capability to promote organizational standards for project management
  • Experience in planning and executing stakeholder events, including budget management
