RINA is seeking a UK Administrative Support Specialist to enhance its operations within the Consulting Planning, Monitoring & Business Support Division.
Role Overview
The UK Administrative Support Specialist serves as a key resource for delivering comprehensive administrative assistance across all UK Business Areas. This role involves collaboration with the UK Business Support team, facilitating the needs of operational units, commercial teams, and engaging with essential corporate functions such as procurement, QHSE, and finance.
The position is based in a dynamic office environment.
Key Responsibilities
General Administrative Duties
Provide essential administrative support to the UK Operations and Management Team as needed. Organize external training sessions for staff and maintain accurate records. Assist with local office operations, including phone management, deliveries, and general facilities assistance. Aid in scheduling maintenance for equipment. Offer administrative support for bids, gathering necessary documentation and completing pre-qualification forms. Ensure precise data entry into systems, including customer information, quotes, and orders. Assist with organizing events, meetings, or gatherings as required. Provide support for various ad hoc inquiries from teams.Procurement Assistance
Gather relevant quotes for purchases and communicate with suppliers to ensure all required information is available for qualification. Process purchase requests and track approvals through the Procurement system. Verify and receipt supplier invoices to confirm accuracy and receipt of goods/services. Handle miscellaneous purchasing needs for the office. Arrange travel logistics for business purposes through approved suppliers, ensuring travel logs are maintained.Required Qualifications
Minimum of 5 GCSEs at grade C (or equivalent) including Maths and English / Proven experience in a robust administrative or office support role. Background in an engineering consultancy or a related field. Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.Desired Competencies
Proven ability to build strong and effective working relationships with clients and colleagues. Excellent IT proficiency. Experienced and capable administrator. Ability to manage multiple administrative tasks with minimal oversight. Highly organized, efficient with time, and able to prioritize effectively. Strong communication skills, adaptability, and multitasking ability. Collaborative team player. Attention to detail is essential. Strong numerical skills. Integrity and transparency in all dealings.
