RINA is seeking a UK Administrative Support Coordinator to enhance its operations within the Consulting Planning, Monitoring & Business Support Division.

Role Overview

The RINA Administrative Support Coordinator serves as a central resource for delivering administrative assistance across all UK Business Areas. This role collaborates closely with the UK Business Support team, facilitating the operational needs of various business units, commercial teams, and engaging with essential corporate functions such as procurement, QHSE, and finance.

The position is based in our South Wales office.

Primary Responsibilities

General Administrative Assistance

Deliver comprehensive administrative support to the UK Operations and Management Team as necessary. Organize external training sessions for staff and maintain accurate records. Provide local office support, including handling phone inquiries, managing deliveries, and general facilities management. Assist in scheduling maintenance for equipment. Offer administrative support for bids, gathering necessary documentation, and completing pre-qualification forms. Ensure precise data entry into systems, including customer information, quotes, and orders. Support any events, meetings, or gatherings as required. Address general ad hoc inquiries from teams.

Procurement Assistance

Acquire relevant quotes for purchases and communicate with suppliers to ensure all required information is provided for qualification. Process purchase requests and track approvals in the Procurement system. Verify and acknowledge supplier invoices for accuracy, ensuring all goods/services have been received. Handle miscellaneous purchasing for the office. Arrange travel needs for the business through approved suppliers, including car rentals, flights, hotels, and rail travel, ensuring travel logs are maintained.

Required Qualifications

Minimum of 5 GCSEs at grade C (or equivalent) or higher, including Maths and English / Proven experience in a robust administrative or office support role. Experience in an engineering consultancy or similar industry. Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
