Job Title: Administration Support Co-ordinator

An exciting opportunity has arisen for an Admin Support Co-ordinator to provide comprehensive administrative support to the Booking Co-ordinators on a daily basis.

The successful candidate will be responsible for delivering a high standard of clerical duties, ensuring deadlines are met, and providing exceptional customer care to patients over the telephone.

The role requires excellent organisational skills, with the ability to work under pressure in a busy booking team environment. The post holder will be responsible for managing their own workload and developing an up-to-date knowledge of the services provided by the central team.

The standard hours of work are 08:30 – 17:00 Monday to Friday with a 1 hour lunch break, with the need to cover extended working hours as required.

Key Responsibilities:
  1. To ensure that all demographic details, including NHS numbers, are updated accurately on the Patient Administration System for new outpatient referrals.
  2. To ensure that referral letters are sent for triage to the appropriate consultant/speciality.
  3. To follow up referral letters not returned from triage for designated specialties within laid down timescales – to ensure all referral letters are returned and the patient's appointment booked promptly and correctly or confirmed as in the correct out-patient clinic (Choose and Book appointment).
  4. To generate and send out letters to patients inviting them to contact the department to make an out-patient appointment (Partial Booking), taking account of clinic rules, urgent/routine ratios, cancelled clinics and specified return timescales for review patients.
