Job Summary

Tate is seeking an experienced Executive Support Specialist to join our team on a 4-month contract. As a key member of our Leadership Support Team, you will provide administrative support to a Director, ensuring the efficiency and effectiveness of the office.

Key Responsibilities

  • Manage and coordinate the office of a Director, overseeing the work of other staff and coordinating office activities.
  • Act as the primary point of contact for the Director, analyzing issues, assessing risk, and resolving problems independently.
  • Work collaboratively with the Leadership Support Team to support the delivery of broader service objectives and activities.

Day-to-Day Tasks

  • Coordinate staff in the Leadership Support Team to ensure support services are delivered efficiently.
  • Provide secretarial support to anticipate the business needs of the Director.
  • Manage the Director's diary, arranging meetings and appointments, and preparing agendas.
  • Book venues, arrange equipment, and prepare materials as needed.
  • Assist with financial and budgeting procedures.

Requirements

  • Proven experience as a secretary at a senior level, preferably in a similar role.
  • Experience in managing, motivating, mentoring, coaching, and supporting administrative teams.
  • Ability to take and produce accurate draft minutes.
  • Experience in monitoring budgets, investigating anomalies, and resolving issues with the Finance department.
