We are seeking a highly organized and detail-oriented Board Support Administrator to join our Company Secretariat team at QBE Management Services (UK) Limited. As a key member of our team, you will provide administrative support for our Board and Committee meetings, ensuring seamless logistics and effective communication with stakeholders.

Key Responsibilities

  • Arrange and facilitate meetings, including sending invitations and coordinating logistics.
  • Collate and review meeting papers, building meeting packs and uploading them to our electronic Board portal and Sharepoint site.
  • Maintain oversight of our Company Secretariat Outlook calendar, ensuring accurate and up-to-date information.
  • Provide support for Company Secretarial activities, including document signing, Notarisation, and Apostilling.
  • Assist with KYC requests and other ad-hoc requests for information/documents.
  • Build and maintain strong relationships with the Company Secretariat and Legal teams, as well as other key stakeholders.
  • Ensure entity records are up-to-date, including the electronic statutory register database and filings at Companies House.

Requirements

  • Previous experience in corporate governance, company secretarial, or legal roles is preferred.
  • Excellent organizational skills with a keen attention to detail.
  • Proficiency in Microsoft Office Suite and document management software.
  • Exceptional written and verbal communication skills.
  • Ability to liaise with senior stakeholders and work independently.
