Position Overview

This role is integral to a skilled and versatile team, functioning within the appointment scheduling, preparation, and reception unit across various dental specialties, including Maxillofacial, Restorative, Orthodontic, and Paediatric Dentistry. The primary duties of this position involve providing administrative, reception, and preparation support for all dental disciplines.

The successful candidate will collaborate with a professional, multi-disciplinary team, encompassing three main specialties: Maxillofacial, Restorative, and Orthodontics.

The individual in this role will mainly engage with the reception and preparation team, ensuring that hospital records are organized prior to scheduled appointments, managing appointment bookings and rescheduling, as well as addressing patient inquiries at the reception desk.

The administrative team operates closely together across two locations, with all other personnel, including secretarial and clinical staff, situated within the department.

Preference will be given to current Trust employees, as well as those with 'Priority' and 'At Risk' status, including NHS staff at risk throughout the region, who can demonstrate recent relevant experience as outlined in the Person Specification.

Key Responsibilities

The main duties of this position include:

  • Identifying, requesting, collecting, and tracking all records for clinics daily, ensuring that all necessary case notes are prepared according to the specifications of each specialty.
  • Utilizing the iPM system to ensure that any last-minute additions are identified and prepared within the required timeframes.
  • Communicating any discrepancies regarding scheduled clinics or missing case notes to clinic staff (Nurses and Consultants) before the clinic commences.
  • Managing patient arrivals and departures using the iPM system while maintaining confidentiality.
  • Keeping the Patient Document Tracing (PDT) system updated with the movement of patient case notes both into and out of the department.

Job Responsibilities

  • Maintaining the Patient Document Tracing (PDT) system to accurately reflect the movement of patient case notes within the department.
  • Adhering to Trust protocols for requesting patient case notes in a timely manner to ensure proper preparation. Once received, organizing the contents of the patient case notes to align with the Trust's standard filing format.
  • Demonstrating strong persuasive and analytical skills when patient case notes are difficult to locate.
  • Achieving 100% availability of case notes for all clinics.
  • Exhibiting empathy and tact when interacting with patients who may be distressed regarding their appointments.
  • Serving as the initial point of contact for patients entering the department.
  • Ensuring that all patient appointment outcomes are recorded while on reception on the day of the appointment.

Qualifications and Skills

  • Educated to GCSE level 9-4 (A-C) in Mathematics and English or possess equivalent demonstrable experience in a similar role.
