Role Overview:

The primary responsibility of this position is to oversee administrative personnel and manage all office-related functions, ensuring effective support for key safeguarding roles within the organization.

Key Responsibilities:


• Supervise and mentor a dedicated team of administrators tasked with processing background checks for Church of Scotland congregations and national offices.


• Conduct regular performance evaluations and provide guidance to the administrative team, ensuring professional growth and effective performance management.


• Offer comprehensive diary management and administrative assistance to the Safeguarding Manager.


• Organize and document meetings for the Safeguarding Committee, including agenda preparation, distribution of materials, and timely follow-up on action items.


• Facilitate the planning and execution of conferences and training sessions.


• Compile and disseminate newsletters to both volunteers and paid staff regularly.


• Serve as a liaison with Disclosure Scotland and Volunteer Scotland regarding PVG Scheme applications and related processes, as well as act as a contact for our umbrella body concerning Disclosure and Barring Checks.


• Function as a counter-signatory for the PVG Scheme when required.


• Regularly review and enhance administrative and office policies, identifying opportunities for operational improvements, particularly concerning the Protecting Vulnerable Groups (PVG) and Disclosure and Barring Service (DBS) processes.


• Act as the primary contact for Data Protection matters, overseeing the management of personal information within the safeguarding service, ensuring secure handling, storage, and disposal of confidential data. Respond to data breaches and subject access requests in a timely manner.


• Maintain high standards of customer service, manage both manual and electronic records, and oversee financial transactions, including expenses and other office-related duties as necessary.


• Prioritize workload effectively to meet organizational needs.


• Generate statistical and management reports as required.

Additional Responsibilities:


• Actively participate in the Central Services Committee Performance and Development Review (PDR) process.


• Uphold the core values of the Central Services Committee in all aspects of work.


• Undertake any other reasonable tasks as assigned by management.
