Spire Healthcare Ltd is seeking a dedicated Health & Safety Administrator to join our team.

In this role, you will play a vital part in ensuring the safety and well-being of our patients, staff, and visitors by providing comprehensive administrative support to our Health & Safety Officer.

Your Key Responsibilities:

  • Manage all administrative tasks related to maintaining our robust Health & Safety Management System.
  • Compile and analyze H&S incident reports from Datix, identifying trends and near misses to inform proactive safety measures.
  • Efficiently direct general health & safety inquiries to the appropriate team members within our dedicated health and safety department.
  • Provide prompt and professional telephone support, handling calls and messages with accuracy and efficiency.
  • Keep our local health and safety arrangements and policies up-to-date, ensuring timely distribution throughout the facility.
  • Maintain and monitor our Hospital Wide Action Plan spreadsheet, following up on outstanding actions as directed by the Health & Safety Officer.
  • Administer Health & Safety Flash alerts, responding to central team requests within the designated timeframe and collating departmental responses.
  • Serve as a records administrator for Health & Safety Training, assisting with course registration and certificate issuance.
  • Proactively communicate with the Health & Safety Officer regarding any delays or challenges in managing actions or risk assessments.
  • Accurately record and distribute minutes from all relevant meetings.
  • Support the Health & Safety Officer during quarterly hospital health and safety monitoring inspections.
  • Collaborate with the Health & Safety Officer to ensure comprehensive inductions and effective health & safety training arrangements are in place.
  • Coordinate and arrange mandatory eLearning for safety training, ensuring timely completion and monitoring progress.
  • Assist the Health & Safety Officer in addressing health and safety questions raised during internal and external audits by regulatory bodies.

Who We Are Looking For:

  • Proven experience working in a similar role within a healthcare setting.
  • A recognized Health & Safety related qualification.
  • Minimum 3 years of administrative experience.
  • A strong understanding of Health & Safety and Risk Legislation.
  • Proficiency in using the MS Office suite to effectively manage tasks.
  • The ability to prioritize effectively and manage competing demands.
  • A proactive and self-motivated individual with a strong work ethic.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and the ability to work collaboratively within a team environment.
