Job Summary

Heathway Medical Centre is seeking an experienced and dynamic leader to oversee the daily operations of our reception team. The successful candidate will be responsible for managing the workflow, ensuring efficient patient care, and maintaining high standards of service.

Main Responsibilities

  • Leadership & Management: Oversee the day-to-day operations of the reception team, ensuring smooth workflows, excellent patient service, and high team morale.
  • Patient-Focused Care: Be the primary point of contact for patient inquiries, ensuring all patients are greeted and assisted with professionalism and care.
  • Appointment & Workflow Management: Expertly manage the appointment system, ensuring efficient patient flow and timely service.
  • Staff Development: Lead, train, and support the reception staff, fostering a culture of continuous improvement and teamwork.
  • IT & Admin Expertise: Utilize and oversee systems like EMIS, ensuring data accuracy and efficient processing of patient information.
  • Collaboration: Work closely with the Practice Manager, clinical teams, and external partners, ensuring all updates and processes are smoothly communicated and implemented.
  • Quality Control: Maintain high standards of patient service, managing feedback, and continuously improving procedures.

Person Specification

Qualifications

Essential

  • Leadership Experience: A proven track record in a leadership role, ideally in a GP practice or healthcare setting.
  • GP Reception Experience: At least 3 years of experience as a GP receptionist, with a deep understanding of practice operations and patient care.
  • EMIS & IT Proficiency: Strong hands-on experience with the EMIS clinical system and other relevant IT systems.
  • People Skills: An approachable, calm, and reliable individual who thrives in a team environment and can maintain composure under pressure.

  • Problem-Solving: The ability to adapt quickly and make sound decisions, especially in busy and challenging situations.
  • Flexibility: A willingness to cover shifts and adapt to changing schedules when necessary.
