Job Title: College Administrator

We are seeking an experienced and reliable College Administrator to provide day-to-day administrative support to our College provision.

Key Responsibilities:
  • Support the day-to-day running of the centre, including answering phones, managing post systems, and ordering refreshments and stationery.
  • Oversee attendance monitoring, calling students, and writing letters to input onto online registers.
  • Assist the team with administrative tasks, such as booking meetings, arranging refreshments, and shredding documents.
  • Complete learner bursary spreadsheets and submit to finance in line with deadlines.
  • Facilitate communications between Head Office, the wider Directorate, and the Programme to ensure effective support for the network.
  • Use the purchasing system to raise purchase orders, requisitions, and receipt goods, and deal with enquiries from suppliers, finance, and accounts payable.
  • Oversee Petty Cash systems and ensure timely replenishment to avoid disrupting the service.
  • Act as an Exams Administrator to the Centre's Awarding body, enrol students onto relevant courses, and apply for certification on completion.
Requirements:
  • Level 2 or equivalent in English and Maths.
  • Proven experience of working in an administrative capacity.
  • Excellent knowledge of Microsoft Office, including Word, Excel, and PowerPoint.
  • Proven ability to communicate effectively at all levels and build sound relationships.
  • Knowledge of finance, invoicing, and administrative systems.
  • Experience of data entry onto databases.
  • Able to draft own correspondence and proofread.
  • Able to develop administration and finance procedures.
Benefits:
  • Salary: £15,340 pro-rata (£25,403 FTE).
  • Hours of work: 25 hours per week.
  • Contract: Permanent, Term Time Only (41 weeks).
