Medical Office Coordinator

We are seeking a highly organized and communicative Medical Receptionist to join our team at Shay Lane Medical Centre. As a key member of our administrative staff, you will be responsible for providing exceptional patient care and administrative support to our clinical team.
Main Responsibilities- Maintain and monitor the practice appointment system, ensuring seamless communication with patients and staff.
- Process personal, telephone, and e-requests for appointments, and respond to patient inquiries in a timely and professional manner.
- Answer incoming phone calls, transfer calls, or deal with caller requests as necessary.
- Signpost patients to the correct service and initiate contact with patients, team members, and external agencies as required.
- Code clinical data in EMIS Web and Docman 10, and photocopy documentation as needed.
- Enter data into patient healthcare records, manage queries, and monitor and action the reception and prescription email inboxes.
- Process incoming repeat prescription requests and adhere to the practice's repeat prescription policy.
- Liaise with the practice pharmacist and doctors regarding prescription queries.
- Carry out clinical system searches, phlebotomy, and chronic disease annual review patient recalls as requested.
- Support all clinical staff with general tasks and maintain a clean, tidy, and effective working area at all times.
- Excellent communication skills (written and verbal), strong IT skills, and a clear, polite telephone manner.
- Competent in the use of Microsoft Office and Outlook, with effective time management and problem-solving skills.
- Ability to work as a team member and autonomously, with good interpersonal skills and a flexible and cooperative attitude.
- High levels of integrity and loyalty, with sensitivity and empathy in distressing situations.
- Ability to work under pressure and flexibility to work outside of core office hours.
