Job Summary

We are seeking a highly organized and detail-oriented Medical Receptionist to join our team at Shay Lane Medical Centre. As a Medical Receptionist, you will be the first point of contact for patients and will be responsible for providing exceptional customer service, managing appointments, and maintaining accurate records.

Main Responsibilities
  • Maintain and monitor the practice appointment system, ensuring timely and efficient scheduling of appointments.
  • Process personal, telephone, and e-requests for appointments, and respond to patient inquiries in a professional and courteous manner.
  • Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately, and signpost patients to the correct service.
  • Initiate contact with and respond to requests from patients, team members, and external agencies, and code clinical data in EMIS Web and Docman 10.
  • Photocopy documentation as required, and data entry of new and temporary registrations and relevant patient information as necessary.
  • Direct requests for information, SARs, insurance/solicitors letters, and DVLA forms to the administration team, and manage all queries as necessary in an efficient manner.
  • Monitor and action the reception and prescription email inboxes, and process incoming repeat prescription requests and abide by the practice's repeat prescription policy.
  • Liaise with the practice pharmacist and doctors with prescription queries, and carry out clinical system searches as requested.
  • Carry out phlebotomy and chronic disease annual review patient recalls, and be named administrative lead for at least one chronic disease register, responsible for recalling and booking patient testing and annual reviews.
  • Maintain a clean, tidy, effective working area at all times, and monitor and maintain the reception area and noticeboards.
  • Support all clinical staff with general tasks as requested, and monitor and maintain stationary stocks, reporting to the practice manager to order supplies.
  • Partake in audit as directed by the practice manager, and support administration staff, providing cover during staff absences.
  • Scanning of patient-related documentation and attaching scanned documents to patients' healthcare records, and complete opening and closing procedures in accordance with the duty rota.
Person Specification

We are looking for a highly motivated and organized individual with excellent communication skills, both written and verbal. The ideal candidate will have strong IT skills, a clear and polite telephone manner, and be competent in the use of Microsoft Office and Outlook.

The successful candidate will have effective time management skills, be able to work as a team member and autonomously, and have good interpersonal skills. They will also have problem-solving and analytical skills, be able to follow policy and procedure, and be polite and confident.

We are looking for a flexible and cooperative individual who is motivated and a forward thinker, with high levels of integrity and loyalty. The ideal candidate will be sensitive and empathetic in distressing situations, able to work under pressure, and flexible to work outside of core office hours.

A Disclosure Barring Service (DBS) check will be required for the successful candidate.
