Job Purpose
The primary objective of this position is to deliver administrative support to the Sales Director and the Sales Division.

Key Responsibilities- Compile and maintain daily, weekly, and monthly management reports as required by the department, ensuring the accuracy and timeliness of the information.
- Oversee projects to guarantee that all stakeholders meet their deadlines.
- Schedule one-on-one and review meetings for all employees in accordance with the company’s review framework, sending appropriate invites through the scheduling system and booking meeting rooms as necessary.
- Act as the primary note-taker in Management and HR meetings, ensuring that minutes are documented within 72 hours and accurately reflect the discussions.
- Maintain and update the HR CRM with all employee records and leave requests, authorizing leave in line with departmental protocols.
- Ensure electronic employee files are current and easily accessible.
- Update and distribute Departmental Information, Organization Charts, and Department Structures on a monthly or ad-hoc basis to key personnel.
- Serve as the main contact for all purchase orders related to departmental equipment.
- Ensure that a new starter form is completed for every new employee, and that they have a fully equipped desk ready for their first day.
- Complete a leaver's form for every departing employee and ensure the collection of all company materials.
- Compile the monthly salary memo based on absence and overtime, ensuring accurate representation of all information.
- Assist the Sales Director in ensuring that tasks assigned to other individuals or departments are completed on time.
- Support the Sales Director and Management Team with internal reporting, including the preparation of reports for Board Meetings and Weekly Status Meetings.
- Coordinate monthly payroll across departments to meet group deadlines.
- Manage the preparation and organization of Quarterly Sales Conferences.
- Oversee the Sales Director's email inbox, prioritizing and responding to messages as appropriate.
- Organize daily and weekly movements, allowing sufficient time for preparation while accommodating any changes that may arise.
- Take charge of all first and second interview meetings, liaising with external recruiters and updating the internal recruitment tracker.
