Position Overview

The International Mobility Program Coordinator will manage all aspects related to Brooks Automation's assignees and our mobility partners, with a particular emphasis on assignments in Malaysia.

Core Responsibilities:

Lead Contact and Coordination: Act as the primary liaison alongside Brooks Regional HR Business Partner, Talent Acquisition, and Total Rewards. Collect and analyze information and requirements regarding the assignee's home and host locations. Organize and oversee all details pertinent to the relocation and assignment. Assignee Assistance: Serve as the main point of contact for relocation services with Sterling Lexicon. Support assignees with visa processes through TPV (Sterling Lexicon or Shearn Delamore), including documentation collection and deadline oversight. Facilitate tax-related assistance with Vialto for hypothetical tax calculations and submissions. Assignment Oversight: Ensure all assignment-related processes are effectively managed from initial engagement to settling-in services, even though Sterling Lexicon manages the relocation. Collaborate with assignees to ensure all necessary actions are identified and deadlines are adhered to. Visa and Immigration Management: Conduct a preliminary assessment of the case, including a review of the completed initiation form (intake questionnaire) and supporting documents. Provide potential immigration options based on the completed initiation form. Organize conference calls with the assignee and HR to identify the most appropriate immigration pathway. Supply a comprehensive documentation checklist, process outline, and timelines to the assignee and HR. Assist in document collection and provide ongoing support throughout the application journey. Prepare and submit applications to the relevant authorities, including drafting necessary forms, scheduling appointments, and paying applicable government fees. Arrange expedited processing if required and available. Monitor application statuses and provide regular updates to the assignee and HR. Assist with post-arrival tasks such as obtaining residence permits and local police registration (if necessary). Keep HR informed of renewal deadlines.
