SENIOR ADMINISTRATIVE MANAGER

ADMINISTRATIVE SUPPORT POSITION

This temporary position involves providing comprehensive managerial administrative assistance. As the Senior Administrative Manager to the Category Officer, you will oversee a team of four Assistant Category Officers within the Fleet and Transport Procurement division.

Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word, is essential. You will regularly utilize spreadsheets and databases, as well as perform typing and document preparation tasks. Assisting the Category Officer with procurement documentation is a key responsibility, and familiarity with procurement and compliance processes is advantageous.

Key Responsibilities Include:

  • Organizing and leading a team of category assistants to implement best practices in procurement.
  • Exercising supervisory duties for staff organized in teams, ensuring effective management of daily operations within a designated category.
  • Conducting research and analysis of tender documentation, providing insightful recommendations.
  • Applying judgment within established guidelines to determine the most suitable course of action from various options.
  • Drafting and distributing emails, letters, minutes, memos, and reports, while coordinating inputs from multiple sources.
  • Maintaining accurate records and ensuring information is managed in accordance with relevant guidelines.
  • Utilizing computer systems and Microsoft Excel and Word to generate precise compliance management reports and data visualizations.
  • Collaborating with other departments and external organizations as necessary.
  • Participating in special projects, including data collection and analysis to support the Category Officer's initiatives.
  • Ensuring confidentiality of all sensitive information and records.
  • Performing any additional duties related to the role as required.


Typical Qualifications and Experience:

  • Five GCSEs at Grade C or above or equivalent, including English Language.
  • NVQ in Business Administration Level 2 (or equivalent) or a minimum of five years of office administration experience.
  • Demonstrated administrative experience with strong skills in Microsoft Office, particularly Excel, Outlook, and Word.
  • Essential experience in managing a team within an administrative office setting.

The hourly rate for this position is £15.86, with a standard workweek of Monday to Friday - 36 hours.
