Key Responsibilities

At Macrae, we consider our collective intelligence to be a vital element of our success. The Administrative Coordinator (internally referred to as Knowledge Manager) collaborates within local teams and as part of a global administrative and operations task force. The primary functions of this role include (1) collaborating with assigned recruiters to enhance revenue and optimize recruiting performance, and (2) advocating for the company's mission to equip clients and candidates with comprehensive knowledge of local and global market conditions by ensuring recruiters have access to the latest market insights.

The essential duties of the Administrative Coordinator encompass, but are not limited to, the following:

  • Coordinate client, recruiter, and candidate meetings, interviews, and video conferences.
  • Provide administrative support to two recruiters.
  • Capture, document, and disseminate the information necessary to facilitate the sharing of market insights among team members, including organizing and leading team collaboration meetings to drive new business initiatives.
  • Work alongside recruiters to identify the reports, support, coaching, and reminders needed to enhance their performance.
  • Collaborate with and assist other Administrative Coordinators throughout the organization, facilitating meetings to implement best practices and continuously refine this process.
  • Organize, maintain, and analyze company data professionally and effectively while ensuring compliance with Macrae's security and confidentiality standards.
  • Generate business leads by researching market trends through Macrae's database and other online resources related to candidates and law firms.
  • Prepare background materials for candidate and client meetings.
  • Ensure that all components of database research information, including market intelligence, target lists, meeting notes, and other essential data, remain current for search activities.
  • Conduct periodic training sessions on best practices for the firm.

Preferred Qualifications: A background in law firms, legal, or executive search industries is ideal, along with experience supporting and/or interacting with C-level executives. A Bachelor's Degree or equivalent work experience is required (JDs are welcome). Attention to detail is crucial in this role, as are excellent written and oral communication skills, as well as proficiency in the full MS Office Suite, and ideally experience with an Applicant Tracking System or CRM. The successful candidate will be able to work onsite as needed and will thrive in a high-volume work environment, possessing the ability to prioritize and manage multiple projects and deadlines. The service provided by our recruiters to Macrae's external candidates and clients is of the highest standard, and our Administrative Coordinators must maintain this level of care both internally and externally. The ideal candidate is proactive, highly responsive, flexible, adaptable, and focused on solutions and tasks.
