Finance Officer Job Description

We are seeking a highly skilled Finance Officer to join our team at a school. The successful candidate will be responsible for managing the school's financial administration, ensuring compliance with financial regulations, and overseeing the Finance Office's functions and resources.

Key Responsibilities:
  • Financial Management: Maintain school accounts using financial management systems and manage the unofficial school fund with Quick Books.
  • Income Management: Ensure all income due to the school is received and liaise with the Local Authority for financial management.
  • Financial Transactions: Conduct financial transactions in accordance with DfES, LA, and school financial regulations.
  • Audit Procedures: Facilitate audit procedures, including arranging annual audits and implementing recommendations.
  • VAT Accounting: Manage VAT accounting, payment, and monthly reclaim returns.
  • Expenditure Administration: Administer records of expenditure for each cost centre, reporting any budget discrepancies.
  • Petty Cash Administration: Handle petty cash administration and reimburse staff for expenditures.
  • Banking and Collections: Oversee the collection, recording, and banking of school monies, and issue receipts for various transactions.
  • Lettings and Minibuses: Coordinate with the Premises team for out-of-hours school usage and collection of lettings fees, and ensure minibuses are legally compliant.
  • Purchase Orders and Invoices: Process purchase orders and invoices, ensuring timely payments to suppliers.
  • Bank Account Management: Oversee bank accounts, including monthly reconciliations and handling banking errors.
  • End-of-Year Accounts: Assist in the preparation of end-of-year accounts and manage the ParentPay system.
  • Insurance and Inventories: Maintain school insurances, process claims, and manage inventories.
Requirements:
  • Proven Experience: Proven experience in financial administration, preferably within an educational setting.
  • Financial Management Systems: Familiarity with financial management systems (FMS) and Quick Books.
  • Financial Regulations: Knowledge of DfES, LA, and school financial regulations.
  • Organisational Skills: Strong organisational skills and attention to detail.
  • Time Management: Ability to manage multiple tasks and meet deadlines.
  • Communication Skills: Excellent communication and interpersonal skills.
  • Software Proficiency: Proficiency in using financial software and Microsoft Office Suite.
