We are seeking a highly skilled Workplace Services Manager to join our team at Rockstar Dundee. As a key member of our Workplace Services team, you will be responsible for ensuring the smooth operation of our building and facilities services.
Key Responsibilities- Manage the day-to-day operation of the building and its facilities services, ensuring a safe, comfortable, and supportive environment for staff and visitors.
- Work closely with other Workplace Managers to manage the Workplace Services team, ensuring they carry out their roles professionally and to the required standard.
- Build and foster relationships with support functions, including administrative functions, to ensure the needs of the office are being met and sustained.
- Contract management for buildings and facilities services, including procurement process, budget management, contract negotiation, day-to-day operational oversight, and performance management.
- Manage Workplace Services projects and small works, taking them from identification through to completion, ensuring all deadlines are met and communications to key stakeholders remain detailed and consistent.
- Ensure full compliance with all legal and statutory requirements, including Health & Safety, COSHH, sustainability legislation, etc.
- Develop and maintain building and facilities information, particularly operational processes and documents required for safety and compliance.
- Collaborate with colleagues in Security and Business Protection to ensure that risks, security measures, and issues are being recorded, monitored, and reported.
- Collaborate with colleagues in Technical Services to ensure compliance, PPM, and standards are met and maintained.
- Oversee the management of space and desk utilization, ensuring it is used efficiently and effectively and in line with studio requirements.
- Assist the Workplace Strategy Team in related global projects and initiatives.
- Educated to degree level or with equivalent vocational education and experience.
- 3+ years' experience successfully managing a multi-discipline Workplace team, displaying effective communication, leadership, coaching, and conflict resolution skills.
- Experience in overseeing service contracts, including their procurement, performance, and management.
- Excellent understanding of current safety legislation and best practice.
- A detail-oriented, flexible self-starter with strong initiative, excellent organizational and multitasking skills.
- Excellent planning and project management skills, with the ability to consider things from multiple angles.
- Process-driven, but outcome-focused, and always looking for quality improvement and ensuring they are documented accurately.
- Capable of working autonomously and alongside a wider WPS team, managing, and prioritizing their own workload and understanding when and where to seek guidance and approval.
- Ability to drive Workplace Services initiatives, plans, and projects forward and maintain excellent working relationships with other stakeholders and local management.
- Experience in an overlapping business support field, e.g., IT, Administration, Operations.
- Excellent communication (written and verbal) and creative problem-solving skills.
- Ability to coach and develop direct reports to work as a team to ensure service meets appropriate goals.
- Enthusiasm and the ability to create a sense of fun and motivate a team while upholding standards and maintaining discipline.
- Proficient with Microsoft Office (Outlook, Word, and Excel).
- Sound numerical skills and IT skills.
