Job Summary

VINCI Facilities is seeking a skilled Facilities Operations Coordinator to provide operational support at our facilities. As a key member of our team, you will be responsible for ensuring the smooth operation of our facilities, including managing our CAFM system, coordinating with subcontractors, and maintaining compliance with contractual clauses.

Key Responsibilities

  1. Manage CAFM System: Ensure accurate and timely management of planned and reactive works against contractual clauses to avoid performance deductions.
  2. Document Management: Upload and manage documents for reactive and PPM tasks on Maximo and Sharepoint.
  3. Subcontractor Management: Support with scheduling, induction, safe working, monitoring, and escorting of subcontractors for reactive, PPM, and additional works.
  4. Reporting and Compliance: Assist with compiling monthly client performance reports, CAFM helpdesk reports, and appendices.
  5. Cleaning Service Contract Management: Actively manage the cleaning service contract to ensure KPI compliance, including cleaning site audits with the service provider.
  6. Helpdesk Support: Provide helpdesk cover when the Facilities Coordinator is absent.
  7. Audit Support: Support the Project Manager with internal and external audits.

Requirements

  1. Facilities Management Experience: A good understanding of facilities management principles and practices.
  2. Subcontractor Management: Experience of managing subcontractors and cleaning services.
  3. IT Skills: Proven IT skills, including Outlook and basic data management.
