About the Role

Crossroads Care NI is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of our administration office.

Key Responsibilities:

  • Provide administrative support to the Scheme Managers, including recording financial information, invoicing, and payroll transactions.
  • Ensure the timely processing of payroll and invoices in conjunction with the Administration and Finance departments.
  • Maintain accurate and up-to-date records, including timesheets, rotas, and availability sheets.
  • Assist with the accurate recording of information, such as annual leave, sickness absence, and other periods of leave on Care Planner.
  • Provide administrative support to employees, including calculation of annual leave and preparation of timesheets, payslips, and memos.
  • Organize paperwork and maintain a timely and efficient filing and archiving system.
  • Input data on Crossroads systems for new clients/packages of care, including risk assessments and client details.
  • Support the administration team with reception duties, including answering the telephone, front door, recording, distributing, and daily post run.
  • Take notes at meetings and type up minutes as required.
  • Ensure Crossroads computer systems are kept up to date and data is inputted accurately and within a timely manner.
  • Update contact details on computer systems.
  • Distribute and maintain a record of issued items, including PPE and other Crossroads property.
  • Support the Fundraising activity of the organization and participate in fundraising events.

Requirements:

  • Right to live and work in the UK.
  • Able to prioritize tasks efficiently.
  • Proficient in the use of all Microsoft Packages, including Excel.
  • Excellent verbal and written communication skills in English.
  • Full valid UK driving license.
  • Access to a vehicle and willingness to obtain business insurance.
