As a key member of our team, you will be responsible for ensuring document management consistency across all projects, maintaining control and traceability of documentation, and implementing document control protocols and procedures.
Key Responsibilities:- Document Management: Ensure document management consistency across all projects, maintaining control and traceability of documentation from project initiation through to completion.
- System Setup: Set up the document control system, user permissions, folder structure, and workflow processes.
- Protocol Implementation: Implement and maintain document control protocols, processes, and procedures.
- Training and Support: Provide training to all levels on the document control system and assist the design team to ensure accurate distribution of information, management of comments, and approval cycle.
- Issue Resolution: Resolve drawing/document issue queries and provide project-related help and support to all project users, internal and external.
- Client Liaison: Liaise with clients and sub-contractors regarding any queries relating to the information received and resolve these in a satisfactory and timely manner.
- Compliance: Comply with all EHSQ policies and procedures as required.
- Administrative Tasks: File, photocopy, and print all relevant documents as necessary.
- Experience: Experience in document control within the construction industry.
- Knowledge: Knowledge of document control and/or construction industry processes/terminology preferred – training can be provided.
- Site Experience: Experience of working on a construction site environment (in a similar role) preferred – training can be provided.
- System Experience: Experience using an electronic document control system preferred – training can be provided.
- Software Knowledge: Knowledge of construction document management software.
- Time Management: Ability to prioritize and manage your own workload effectively.
- Software Skills: Excellent knowledge of MS Office.
