An exceptional opportunity exists within the Trauma and Orthopaedic division, which is growing with the establishment of a new Orthopaedic Centre. We are seeking a Lead Medical Administrative Coordinator to become a vital member of our secretarial team within the Paediatric Division. This dynamic department encompasses surgical pre-assessment, outpatient clinics, and wards, with a commitment to prioritizing patient care at the highest standards. Collaborating with nursing and medical professionals, the administrative team plays a crucial role in ensuring the department operates efficiently and serves as a dependable point of contact throughout a patient's journey.

Key Responsibilities

The successful candidate will serve as a liaison for all communications involving the Consultant, patients, relatives, hospital staff, General Practitioners, and external organizations, fostering a close working relationship between Consultants and patients as necessary. You will assist in managing the administrative functions of the Consultant and designated clinical team, delivering an effective secretarial service and ensuring continuity during the Consultant's absence.

Job Duties

1. Manage all communications, including emails, faxes, and investigation results daily. Utilize judgment to conduct a preliminary assessment of content to determine the appropriate course of action and prioritize for the consultants/clinical teams.

2. Accurately transcribe all correspondence through touch typing from audio/digital dictation or shorthand, applying knowledge of medical terminology. Independently generate routine and non-routine correspondence.

3. Assist patients and their caregivers by arranging translation and interpretation services as needed.

4. Demonstrate and maintain knowledge and understanding of Trust RTT policy.

5. Update RTT in accordance with Trust guidelines, ensuring accurate patient pathways and investigating and correcting errors as necessary. Support the Administration and Clerical team with data management using PAS and other departmental patient databases.

6. Complete the Tertiary referral proforma/template for internal/external referrals as per Trust policy.

7. Promptly process clinical investigations, results, and outcomes. Utilize Trust reports to manage and administer waiting lists, which may include outpatient, inpatient, diagnostic, and other relevant waiting lists.

8. Schedule patients from waiting lists and update associated booking systems in line with departmental requirements and Trust RTT Policy.

Qualifications

Essential

  • RSA III or equivalent training or experience
  • Knowledge of medical terminology/AMSPAR qualification

Experience

  • Significant Medical Secretarial experience
  • Previous NHS experience, understanding of the NHS agenda and government targets, and experience in implementing and proposing changes to policy within your work area
