Job Description

Role Overview

We are seeking an experienced Document Control Specialist to join our team as a Records Configuration Lead. This is a unique opportunity to establish and manage document control processes from the ground up, ensuring accurate recording, maintenance, and accessibility of project documentation throughout the lifecycle.

Key Responsibilities

  • Perform functional, day-to-day document control tasks to ensure project documentation requirements are met efficiently and accurately.
  • Manage a document control team, setting up foundational processes, strategies, systems, and procedures to guide the project to successful completion.
  • Develop and implement a comprehensive document control system, ensuring it meets project needs and scales effectively as the project progresses.
  • Oversee the accurate recording, classification, and management of all project documentation, ensuring compliance with project standards and regulatory requirements.
  • Ensure all project documentation is accurately filed, indexed, and easily retrievable, managing both physical and electronic documents.
  • Develop and implement document control processes, procedures, and guidelines to ensure consistent and efficient management of project documents.
  • Collaborate with project teams to integrate document control processes with broader project controls and project management activities.
  • Conduct regular audits and quality checks on documentation to ensure accuracy, completeness, and adherence to project and regulatory standards.
  • Ensure the integrity and security of the document management system, implementing best practices for data protection and access control.
  • Provide training and support to project team members and stakeholders on document control procedures and use of the document management system.

Requirements

  • A degree or equivalent qualification in a relevant field such as information management, engineering, or business administration.
  • Extensive experience in document control or information management roles on large and complex infrastructure projects, with a particular emphasis on projects in their early stages of development.
  • Proven experience in setting up and managing document control systems and processes from the ground up.
  • Strong knowledge of document control standards, regulatory requirements, and best practices, particularly within the construction, engineering or nuclear sectors.
  • Knowledge of the nuclear regulatory requirements regarding the lifetime quality records.
  • Previous experience in leading document control teams, particularly in a matrix structure on major projects.
  • Strong functional understanding of the requirements and leadership and team management skills, with the ability to inspire and develop a high-performing document control team.
  • Proficient in document control software, electronic document management systems (EDMS), and other digital tools related to document management.
