Position Overview

We are seeking a dedicated individual to join our welcoming team as a healthcare reception coordinator within our well-established medical facility.

Your primary responsibilities will be centered around providing reception assistance for our practice services.

Key Responsibilities

The role involves delivering both front desk and administrative support for a busy healthcare practice. This includes:

- Responding to inquiries from patients via phone and email

- Managing patient registrations and deregistrations

- Processing medication requests and pathology results

- Assisting with patient referrals

- Handling correspondence from hospitals

- Performing additional tasks as required by the practice

- Flexibility to start some shifts at 8am and finish at varying times

Role Responsibilities

Job Title: Healthcare Reception Coordinator

Reporting To: Reception Manager

Purpose of the Role: To deliver efficient and effective front-line services to patients, clinicians, and other stakeholders.

To maintain a friendly and approachable demeanor towards patients and visitors at all times, whether in person, over the phone, or through other communication channels.

To take ownership of assigned tasks and projects, ensuring they are completed to a high standard and within designated timeframes.

To adhere to patient confidentiality and practice protocols consistently.

Core Duties:

- Addressing patient inquiries and requests through various communication methods.

- Collaborating with the clinical team to process and allocate prescriptions.

- Providing front-line services at our walk-in center and branch locations.

- Managing patient registrations and removals from the practice list.

- Maintaining electronic medical records and retrieving information as needed.

- Contacting patients for follow-ups and recalls as directed by the practice team.

- Coordinating patient transport, interpreter services, and other relevant assistance.

- Handling incoming and outgoing correspondence.

- Ensuring effective communication with team members and practice staff.

- Efficiently managing personal workload and resources.

- Performing any other duties as assigned by management.

Professional Development:

The successful candidate will engage in relevant training programs as part of their employment:

- Participation in an annual performance review.

- Taking responsibility for personal development and demonstrating skills to others when appropriate.

Qualifications and Experience

Essential:

  • Completion of GCE or A-level qualifications
  • Previous experience in a reception role

Desirable:

  • Completion of a receptionist or customer service training course
  • Experience in a healthcare reception environment
