About the Role

The Wrightington, Wigan and Leigh Teaching Hospitals NHS Foundation Trust is seeking an experienced and skilled Administrative Assistant to join our Emergency Care Centre team. As an Administrative Assistant, you will play a vital role in providing administrative support to our emergency department, ensuring the smooth operation of our services and providing an excellent patient experience.

Key Responsibilities

  • Provide administrative support to the Emergency Care Centre team, including reception duties, patient registration, and data entry.
  • Manage patient records, including scanning and filing documents, and maintaining accurate and up-to-date records.
  • Communicate effectively with patients, staff, and external agencies, providing excellent customer service and responding to queries and concerns.
  • Book appointments for consultants and specialist nurse review clinics, ensuring all relevant information is input onto our systems.
  • Forward patient documents and details to relevant departments for follow-up appointments.
  • Ensure all GP discharge letters are printed and sent out on a daily basis, adhering to Caldicott Guidelines.
  • Record patient deaths onto our systems and forward appropriate documentation to relevant departments.
  • Receive and deal with telephone enquiries, providing information and support to patients and their families.
  • Plan and organize your workload, prioritizing tasks and managing your time effectively to meet deadlines.
  • Support and evaluate changes to working practices, actively seeking ways to improve our services.
  • Maintain an effective filing system, using Document Image Processing Software, and ensure all documentation is stored securely.

Person Specification

  • GCSE standard or equivalent experience.
  • Experience of working in a busy, pressurized customer-focused environment, dealing with frequent interruptions.
  • Recent work experience within an administration or office setting.
  • Experience of using IT systems in the workplace.
  • Excellent communication and interpersonal skills, with the ability to work effectively as part of a team.
  • Good organizational and time management skills, with the ability to prioritize tasks and manage workload.
  • Ability to learn quickly and adapt to change in circumstances.
